Thank you for choosing TheBestPrivateSchool for your architectural, urban design, and related services. We are committed to providing high-quality solutions and ensuring client satisfaction. This Refund Policy outlines the terms under which cancellations and refunds for our services are managed.
1. General Policy Statement
Due to the bespoke, creative, and iterative nature of our architectural and design services, which involve significant upfront intellectual and labor investment (e.g., consultations, conceptual development, drawings, analyses), most fees paid for services rendered are non-refundable. Refunds are generally considered only for services that have not yet been initiated or for specific circumstances as outlined in your individual Service Agreement or Master Services Agreement ("Agreement").
2. Project Initiation and Fees
Upon engagement, clients typically submit a retainer or initial payment to commence work. This initial payment covers the preliminary research, consultations, conceptual design, and resource allocation required to kickstart your project. Once these initial stages begin, a substantial portion of the value of the service is considered delivered, regardless of whether a final design is approved or construction begins.
- Retainer/Initial Payments: These payments are generally non-refundable once work has commenced.
- Milestone Payments: Payments scheduled upon the completion of specific project milestones become non-refundable once that milestone has been achieved and approved (or deemed approved) by the client, as per the Agreement.
3. Cancellation by Client
If a client wishes to cancel a service or terminate an Agreement:
- Before Commencement of Work: If you cancel your service request or Agreement before any substantial work (including initial consultations beyond the introductory meeting, research, or design conceptualization) has begun, you may be eligible for a full or partial refund of any upfront payments, less any administrative or consultation fees incurred. This will be determined on a case-by-case basis and as per the explicit terms of your signed Agreement.
- After Commencement of Work: If work has commenced, any payments made for completed phases, hours worked, or expenses incurred up to the point of written cancellation will be non-refundable. We will provide a detailed accounting of all work performed and expenses incurred. Any remaining balance of an upfront payment that exceeds the value of services rendered may be eligible for a partial refund.
- Termination Clause: Refer to the specific termination clauses within your individual Service Agreement for detailed procedures and financial implications of cancellation.
4. Cancellation by TheBestPrivateSchool
In rare circumstances, TheBestPrivateSchool may need to cancel or terminate a project, for reasons such as:
- Unforeseen circumstances making project completion impossible or impractical.
- Breach of contract by the client (e.g., non-payment, unreasonable demands outside the scope).
- Ethical considerations or conflicts of interest.
In such cases, TheBestPrivateSchool will provide a full accounting of work performed and expenses incurred. Any unearned portion of fees paid will be refunded. We will also endeavor to complete any critical deliverables that are substantially complete, if possible and practical.
5. Changes in Project Scope
Significant changes requested by the client to the project scope after the Agreement has been signed may necessitate a revised proposal, change order, or new Agreement. Such changes may impact the overall project cost and timeline, and any additional fees incurred will be non-refundable once work on the revised scope has commenced.
6. No Refunds for Approved Deliverables
Once a design phase, drawing set, or other deliverable has been formally approved or accepted by the client (or deemed accepted after a review period as per the Agreement), fees associated with that deliverable become non-refundable. This reflects the completion of a specific stage of intellectual work.
7. Requesting a Refund
All refund requests must be made in writing via email or postal mail to our contact details below. Please include:
- Your full name and contact information.
- Project name and invoice numbers.
- A clear explanation of the reason for the refund request.
Our team will review your request in accordance with this policy and your specific Agreement and respond within a reasonable timeframe (typically 10-15 business days).
8. Payment Disputes
If you have any concerns about billing or payments, please contact us directly before initiating a chargeback or payment dispute with your bank or payment provider. We are committed to resolving any issues amicably and fairly. Initiating a chargeback without prior communication may complicate the resolution process and could be considered a breach of your Agreement.
9. Amendments to This Policy
TheBestPrivateSchool reserves the right to modify this Refund Policy at any time, effective upon posting of the revised policy on our website. However, any specific refund terms outlined in a signed Service Agreement will take precedence over this general policy for the duration of that Agreement.
